The objective of this assessment is to assess your skills and knowledge to create a user documentation templates and obtain approval.

Instructions for this assessment

This is a project-based assessment and will be assessing you on your knowledge and performance of the unit.

This assessment is in two parts:

1. Create user manual templates

2. Obtain approval for templates

The assessment also contains:

· Assessment Checklist

· Assessment Feedback.

Check the Assessment checklist to ensure that you’ve covered all the required tasks.

Submission instructions

When you have completed this assessment, submit it online for marking by your assessor.

Ensure you have typed your name at the bottom of each page of every document you create.

Submit the following documents for each part:

§ Part 1: Create user manual templates

o Two user manual templates

§ Part 2: Obtain approval for templates

o Email to supervisor.

It is important that you keep a copy of all electronic and hardcopy assessments submitted to TAFE and complete the assessment declaration when submitting the assessment.

What do I need to do to achieve a satisfactory result?

To achieve a satisfactory result for this assessment all questions must be answered correctly and all items in the Assessment Checklist must be marked Satisfactory.

Assessment conditions

Assessment conditions will replicate the workplace, including noise levels, production flow, interruptions and time variances.

What do I need to provide?

· USB drive or other storage method with enough free space to save work to.

What will the assessor provide?

· Access to the Learning Management System

· Access to Microsoft Word for creating documentation

· Scenario documents as outlined in assessment:

o Red Opal Innovationsstyle guide (ROI_Style_guide.pdf)

o Red Opal Innovationslogo (ROI_Logo.jpg)

o Email template (ROI_Email_template.docx).

Due date and time allowed

Indicative time to complete assessment:

· One and a half hours.

Supervision

This is an unsupervised assessment. Your assessor may ask for additional evidence to verify the authenticity of your submission and confirm that the assessment task was completed by you.

Reasonable adjustment

If you have a permanent or temporary condition that may prevent you from successfully completing the assessment event(s) in the way described, you should talk to your assessor about ‘reasonable adjustment’. This is the adjustment of the way you are assessed to take into account your condition, which must be approved BEFORE you attempt the assessment.

Assessment feedback, review or appeals

Appeals are addressed in accordance with Every Student’s Guide to Assessment.

Specific task instructions

Scenario

Red Opal Innovations wants to create user manuals to assist all employees in mastering the software it uses. The company knows that this will boost productivity as well as reduce the workload for the support department, as many employees will be able to solve their own problems.

Now that you’ve determined the documentation requirements and created a plan, you can create the documentation templates. Refer to your documentation plan (from Assessment event 1) when creating your templates.

Part 1: Create user manual templates

You’ll need to create two different templates that will be used to create user manuals for the company, one for print documents and one for online documents. Your templates must not contain any specific information about the topic but should be designed so that all future manuals can be created using these templates. This will standardise user manuals for the company and make it easier for all staff to follow them.

Use the supplied Red Opal Innovationsstyle guide (ROI_Style_guide.pdf) and follow these standards when creating the templates. Note that both templates need to follow the style guide, however one will be suitable for print documents and one suitable for online documents, so consider the layout of each type.

Start with the default styles in your chosen word processing software and modify them according to the style guide specification. If a formatting feature is not specifically mentioned, use the default setting in the software. You’ll also need to download the folder containing the Red Opal Innovationslogo (ROI_Logo.jpg) to use in your template.

Your templates should include the following features, as well as any other items that you feel are necessary:

  • a cover page that will contain:
    • the company logo
    • placeholders for the document title, author name and version number
  • page numbering
  • a table of contents (hint: create this automatically by using heading styles in your document)
  • headings for:
    • an introduction
    • a description of the steps to perform the process
    • a summary
    • list of references
  • correct spelling and grammar.

Part 2: Obtain approval for templates

Write an email to your supervisor using the Email template (ROI_Email_template.docx) requesting approval of your user manual templates. Use appropriate business format and include your name and business title. (20-50 words)

Assessment Checklist

The following checklist will be used by your assessor to mark your performance against the assessment criteria of your submitted project. Use this checklist to understand what skills and/or knowledge you need to demonstrate in your submission. All the criteria described in the Assessment Checklist must be met. The assessor may ask questions while the submission is taking place or if appropriate directly after the task has been submitted.
