The objective of this assessment is to assess your skills and knowledge to create a user documentation plan.

Instructions for this assessment

This is a project-based assessment and will be assessing you on your knowledge and performance of the unit.

This assessment is in two parts:

1. Determine documentation requirements

2. Plan user documentation.

The assessment also contains:

· Assessment Checklist

· Observation Checklist

· Assessment Feedback.

Check the Assessment and Observation checklists to ensure that you’ve covered all the required tasks.

Submission instructions

When you have completed this assessment, submit it online for marking by your assessor..

Ensure you have typed your name at the bottom of each page of every document you create.

Submit the following files or documents for each part:

· Part 1: Determine documentation requirements

o A video recording of a meeting with your supervisor.

· Part 2: Plan user documentation

o User documentation plan.

It is important that you keep a copy of all electronic and hardcopy assessments submitted to TAFE and complete the assessment declaration when submitting the assessment.

What do I need to do to achieve a satisfactory result?

To achieve a satisfactory result for this assessment all questions must be answered correctly and all items in the Assessment Checklist must be marked Satisfactory.

Assessment conditions

Assessment conditions will replicate the workplace, including noise levels, production flow, interruptions and time variances.

What do I need to provide?

· Computer, internet and login details.

· A person, such as another student, to play the role of your supervisor.

· A video recording device.

· USB drive or other storage method with enough free space to save work to.

What will the assessor provide?

· Access to the Learning Management System

· Scenario documents as outlined in assessment:

o Red Opal Innovations (ROI_Scenario.pdf)

o Red Opal Innovations style guide (ROI_Style_guide.pdf)

o User documentation plan template (ROI_User_doc_plan.docx).

Due date and time allowed

Indicative time to complete assessment:

One and a half hours.

Supervision

Your assessor may ask for additional evidence to verify the authenticity of your submission and confirm that the assessment task was completed by you.

Reasonable adjustment

If you have a permanent or temporary condition that may prevent you from successfully completing the assessment event(s) in the way described, you should talk to your assessor about ‘reasonable adjustment’. This is the adjustment of the way you are assessed to take into account your condition, which must be approved BEFORE you attempt the assessment.

Assessment feedback, review or appeals

Appeals are addressed in accordance with Every Student’s Guide to Assessment.

Specific task instructions

Scenario

Red Opal Innovations (ROI_Scenario.pdf) wants to create user manuals to assist all employees in mastering the software it uses. The company knows that this will boost productivity as well as reduce the workload for the support department, as many employees will be able to solve their own problems.

They have formulated a list of topics for user documentation, as follows:

Topic list

  • Adding information in headers and footers in Microsoft Word, including page numbers and document information.
  • Adding images to your document in Microsoft Word, including different sources of images.
  • Formatting your document in Microsoft Word, for example text, styles, headings, colours.
  • Using features of an operating system, for example Microsoft Windows 10 Cortana, tiles.
  • Using macros and templates in Microsoft Word.
  • Using an item of IT equipment.

For this assessment event, you are required to determine the requirements for the documentation and plan your user documentation.

Later, for assessment event number 2, the plan that you develop will be used to create two different document templates (one for print and one for online use). The templates will need to follow the Red Opal Innovations style guide (ROI_Style_guide.pdf) to ensure that all the user manuals have the same formatting.

Finally, for assessment event number 3, once the templates are complete, you’ll use your templates to create and review a user manual.

Before creating your user documentation, you’ll need to consider the organisation’s requirements, what standards you’ll need to follow and the design of the templates and documentation.

Part 1: Determine documentation requirements

Your first step is to meet with your supervisor in a role play of 5-10 minutes to determine some information for the user documentation.

Prepare for your meeting by organising:

  • a person, such as another student, to act as your supervisor
  • your video recording device and set up.

You are encouraged to rehearse the meeting with your supervisor before completing the assessment.

During the meeting, make sure that you use:

  • effective listening and questioning techniques to elicit information
  • simple and relevant language to confirm your understanding of the requirements and identify the audience for the documentation.

Role play participants:

  • Supervisor – the other person acting as the Supervisor.
  • ROI employee –you.

Ensure that you include the following in your role play.

Determine/clarify the following:

  • The documentation requirements and organisational standards to be followed.
  • The audience for the documentation, including their diversity.
  • The system or application that will be documented.

Part 2: Plan user documentation

Use the User documentation plan template (ROI_User_doc_plan.docx) to create a plan for your user documentation and complete the following questions (300-500 words):

  1. Documentation requirements
  2. In your own words, give an overview of the type of templates and documentation you’re producing.

What is the purpose of your user documentation?

Who is the intended audience for your user documentation?

How will you cater for the diversity of the audience?

  1. Documentation standards
  2. What standards (both internal and external) might be applicable to user documentation? (List at least one of each).

Why would they apply to user documentation?

  1. Documentation design
  2. What are some functions and features of templates and style guides that would make them useful for creating user documentation? List at least two.

What content features should be considered that can affect the usability, clarity and readability of user documentation? List at least two.

What are some design considerations that specifically relate to online user documentation? List at least two.

Assessment Checklist

The following checklist will be used by your assessor to mark your performance against the assessment criteria of your submitted project. Use this checklist to understand what skills and/or knowledge you need to demonstrate in your submission/presentation. All the criteria described in the Assessment Checklist must be met. Observation Checklist

The Observation Checklist will be used by your assessor to mark your performance in Part 1 of this assessment. Use this Checklist to understand what skills you need to demonstrate in the role play scenario. The Checklist lists the assessment criteria used to determine whether you have successfully completed this assessment event. All the criteria must be met. Your demonstration will be used as part of the overall evidence requirements of the unit. The assessor may ask questions while the demonstration is taking place or if appropriate directly after the task has been completed.
