Follow the Instructions_for_virtual_machine.pdf in the resource folder to set up the VM.

  • You are required to record your completion of the tasks using screenshots and submit them as evidence for this assessment.

When taking screenshots:

  • Use the Snipping Tool (Windows), print screen or a video screen capture tool, such as Skype, to record your actions.
  • To show you are using your machine, use Sticky Notes (Windows) or an equivalent tool to record your name and ensure you capture the sticky note in the screen shot or recording.
  • For each of the tasks 1 to 9 below, take a screenshot of the process and a screenshot of the final setting. Place the screenshots into the box following each activity.
  • Your assessor will complete Observation checklist 1. Check the observation checklist to ensure that you’ve covered all the required tasks.

Tasks

You will be granting permissions to the Guest user, so once you have installed your virtual machine, you will need to make sure this is enabled, as follows:

  • Click on the Start icon and search for Computer Management.
  • Under Local Users and Groups, click Users.
  • Double-click Guest to open Properties.
  • Make sure Account is disabled is not checked.
  • Exit the virtual machine and restart it.

Complete the following tasks:

  1. Install the Print Server.
  1. Install the following printer as a network printer with manual settings, according to the operating system vendor approved method:

      • it belongs to Red Opal Innovations Multimedia Department
      • it’s the second printer in that department
    • Ensure the printer is shared on the network
    • Location: ROI Multimedia Department
    • Comment: Main printer for ROI Multimedia
    • Do not set as the default printer
    • Print a test page (this will save a .prn file – name it Testpage1).
  1. Assign a priority level of 20 to this printer.
  1. Add the following printer accessories and upgrades for this printer:
    • Printer auto select: A4
    • Manual Feed: Envelope DL
    • Tray 1: A4
    • Tray 2: A3
    • Duplex Unit (for 2-sided Printing): Installed

  • Ensure Guest account has the following security permissions (Hint: you may need to add the Guest user first):
    • Print (Allow)
    • Manage Documents (Deny)
  1. Create printing shortcuts as follows. These are printing presets, not desktop shortcuts.
    • Shortcut 1
      • Name: Envelopes
      • Paper: Envelope DL
      • Paper source: Manual feed
      • Pages per sheet: 1

    • Recipient email address: [Your TAFE email address]
    • Sender email address: [Your teacher’s email address]
    • SMTP server: mail.tafensw.edu.au
    • Message: [your printer name] is low on toner.

Send a Test email to make sure it works and include a screenshot of the email.

  1. Create a cost centre for the Multimedia Department. Use a name and code that indicates:
    • it applies to Red Opal Innovations Multimedia Department
    • it is the second cost centre.
  1. Document the installation, configuration and testing of the installation using the Installation Completion form (ROI_Installation_comp.docx).

Part 3: Connect and share a storage device

Next, you will need to connect and share a storage device. This can be an external hard drive or a USB drive.

When taking screenshots:

  • Use the Snipping Tool (Windows) or print screen to record your actions.
  • To show this is your machine, use Sticky Notes (Windows) or an equivalent tool to record your name and ensure you capture the sticky note in the screen shot.
  • For each of the tasks 1 to 5 below, take a screenshot of the process and a screenshot of the final setting. Place the screenshots into the box following each activity.

Tasks

  1. Connect your storage device and perform the following according to the operating system vendor approved method:
    • Configure it correctly to enable sharing.
    • Share the device.
  1. Name the storage device by using an abbreviation that indicates:
    • it belongs to Red Opal Innovations Accounts Department
    • it is the first shared drive in that department.
  1. Configure security for your storage device so that the Guest user has Read access only.
  1. Copy the docx file onto your storage device. You’ll need to do this outside of the virtual machine, so you’ll need to exit, copy, then restart the virtual machine. Open the test document in Notepad and print it to the networked printer. This will save a .prn file – name it as Testpage2.
  1. Document the installation, configuration and testing of the installation using the Installation Completion form (ROI_Installation_comp.docx).

Part 4: Demonstrate peripheral devices

You need to demonstrate to a user how to use the peripherals that you’ve installed on the network in a demonstration of 5-10 minutes.

Prepare for your demonstration by organising:

  • a person, such as another student, to act as the user
  • your video recording device and set up.

Follow the Video recording instructions (pdf) to record and submit your video.

You are encouraged to rehearse the demonstration before completing the assessment.

During the meeting, make sure that you:

  • use effective listening and questioning techniques to confirm understanding
  • use specific and relevant language suitable to the audience
  • address cultural differences in a work environment.

Role play participants:

  • User — the person acting in this role
  • ROI employee — you.

Demonstrate to the user how to do the following tasks:

  • Print a document to the printer.
  • Access and use one of the printing shortcuts you created.
  • Map the network drive.

Assessment checklist

The following checklist will be used by your assessor to mark your performance against the assessment criteria of your activities. Use this checklist to understand what skills and/or knowledge you need to demonstrate in your assessment. All the criteria described in the Assessment checklist must be met.
