Scenario 3 – Travel Agent

A Boutique Travel agent wants to implement a database to keep on top of all their data and get better tracking on their business achievements. They currently manage Clients, bookings, destinations, airlines, hotels, packages, travel insurance, transportation modes, visa
requirements, payments and they want to capture Client feedback.

They have carried out some initial analysis and supplied the below details for this project:

Clients: The Travel Agent needs to maintain all client details, as well as the usual contact details, they need to know birth nationality, marital status, food allergies, health conditions etc. Depending on the health conditions or allergies, Clients may not be able to attend certain day trips or fly with certain airlines. The Travel Agent needs to get a daily list of all Clients with such conditions or allergies. Clients must give them a unique email and contact phone number. Clients must be over 18 to register with this Travel Agent.

Day or Multi-Day Trips: Some destinations have other sub destinations or trips, these also must be recorded, for example some have day trips to local towns or islands. Others may have longer sub trip which can be booked. Per Booking a max of two these can be booked if the booking is between 10 & 14 days. A max of three can be booked is the booking is between 15 and 28 days. There is no max for trips longer than 28 days.

Airlines: As a boutique Travel Agent, they sometimes must book with only certain Airlines for certain clients. Maintaining not only data around currently active Airlines but also Customer preferences is required. Any rules the Airlines have around seat bookings, priority boarding, luggage should be recorded also. Based on Client details some airlines may not be suitable as they cannot accommodate health conditions or food allergies. Once booked this must be linked with the Booking ID.

Travel Insurance: Many customers choose to book their travel insurance with the travel agent. Therefore, they need to maintain data around Travel Insurance suppliers. Eventually they would like to integrate this system with these suppliers. Also, some customers source their own, the Travel Agent needs to also record this with the Booking ID.

Transportation Modes: Outside of flights, there may be a need to book ferries, trains, rental cars etc. The Travel Agent needs to maintain details on the different modes available, in different locations and who supplies them. They will also need to know pricing and deals. For trains, buses and ferries they need to know where to source timetables, they wish to store the online location of these.

Payments: Payments may be up front, partial with multiple increments (for example 2-6 payments of a nominated amount at regular intervals). The Payment type may differ also, card, cash, or transfer (Revolut for example). All this data must be captured and recorded within the database and linked to the correct booking. For multiple payments the system will need to automatically reduce the balance owed per booking per payment received.

Client Feedback and Complaints: The Travel Agent surveys its client after each booking has completed to get ratings, feedback and suggestions. They wish to store this data within the system. The level of detail here can vary here, some clients just use the star ratings, some give feedback with this, and some give feedback and suggestions also.
